THE COMPANY:
Our client, based in the heart of the City, is a global risk consultancy. They require a Legal Assistant to provide legal, research and administrative support to the Legal Risk and Compliance (LRC) team and company secretarial support to the Company Secretary.
THE ROLE:
- Supporting the LRC team in the maintenance and population of an internal database
- Carry out reviews of preliminary agreements
- Assisting with developing and modifying templates and precedents to support the group’s operations and the LRC team’s interaction with the business
- Carry out basic legal research in areas relevant to the group’s activities
- Assist in the preparation of training, guidance and policy presentations/materials
- Support the Company Secretary with all aspects of the company secretarial functions for companies across the group
- Assist with compiling the LRC’s newsletter
- Set up and maintain filing systems and data bases
- Assist with coordinating meetings and conference calls both internally and externally
- Maintain internal and external contacts lists, organisational charts, work logs and other LRC information
- Deal with team mail and deliveries, liaison with couriers and other external service providers (notaries, translators, etc.)
- Set up appropriate IT systems access and induction requirements for new hires and temporary visitors
- Liaise with HR, Finance, Facilities, IT, Marketing and Travel departments (including coordinating / making hotel and flight reservations) as required on behalf of the LRC team
- Assist in the drafting, preparation and dissemination of official / formal communications between various teams within the company
- Committee meetings as required and attend where requested for minute taking / action points etc.
- Shared calendar management and maintaining accurate team absence and sickness records
- Acting as the general administrative support for the team (including photocopying, scanning, filing, archiving)
THE PERSON:
- Educated to A level or equivalent
- Previous experience within a similar role with a demanding and high functioning team
- Highly competent in the use of Microsoft Office
- Professional and dedicated
- Excellent communication skills both written and verbal
- Able to work under pressure and sticking to tight timescales
- Previous experience of minute taking
- Ability to work independently and on own initiative
- Excellent interpersonal skills with the ability to establish and maintain professional working relationships at all levels
- High level of discretion and professionalism
- Well-presented, confident and articulate
- Excellent attention to detail
