Executive Assistant to COO and MD – London, West End

High profile global Advisory Services are keen to recruit a first class EA, ideally with experience within Financial Services or Real Estate. Ability to build relationships at all levels with ease, this individual will be required to handle constant interaction with senior stakeholders so the successful candidate must be comfortable liaising with the board members and heads of department across the wider business. 

Must have a stable work history, EA experience at senior level including management of a small team of support staff ideally personal assistants.

Executive Assistant key duties:

The role would be 80% EA on 1:1 but for both individuals, duties will include:

  • Extensive diary and complex travel arrangements
  • Preparing reports and collating information for board/committee meetings
  • Attending Board meetings, taking minutes and taking ownership to ensure that all action points are followed up and resolved in a timely manner
  • Arranging meetings and preparing meeting facilities and catering as appropriate
  • Managing all incoming communication, efficiently establishing priorities
  • Acting as Head PA for the PA community to ensure business continuity and excellent service delivery across the whole department.
  • Assisting with preparation and delivery of client conferences or events
  • Responsibility for coordinating, development and delivering regular departmental communications on behalf of the MD and COO
  • Involvement in departmental projects as required
  • Create PowerPoint presentations and materials
  • Representing the department on the PAS committee, with active engagement in extra-curricular activities (i.e. charity initiatives, volunteering, diversity networks)
  • Organising corporate / social events
  • Extensive liaison with key clients and their PAs in a professional manner

EA Key requirements:

  • Previous experience in a Senior PA position
  • Experience managing senior stakeholders
  • Previous experience working in Real Estate or Banking industries will be an advantage
  • Exceptional organisation skills
  • Ability to form strong relationships and influence people
  • Accurate and exceptional attention to detail
  • Ability to prioritise and co-ordinate demands efficiently ensuring all deadlines are met
  • Ability to build trust and maintain confidences and operate with the utmost levels of integrity
  • Pro-active with proven experience of working under own initiative
  • Excellent communication skills, both verbally and in writing
  • Experience in supporting at board level for a global organisation is highly advantageous
  • Line management experience preferred
