My client who is a London branch of an international bank is looking for an experienced facilities assistant to work as part of a team maintaining the smooth running of the premises, the reception and dealing with facility issues.

Duties will include

        • Administer the physical and electronic access system to different areas of the building.
        • Ensure safes are locked at close of business.
        • Control access to air-conditioning system
        • Control the central telephone system and handle incoming telephone calls.
        • Log problems/faults reported for facility services, by different departments. Chase problem resolution and escalate them to next level of management if required.
        • Inspect quality of the cleaning services.
        • Manage the contract with the Corporation of London for regular removal of office waste.
        • Execute the procedures for handling the emergency cases such as flooding, bomb alerts, fire, etc.
        • Ensure that the building is inspected for preventive maintenance on daily basis (Fire Alarm Panel, fire hazard, fire escapes, fire extinguishers, main alarm, cameras, video, tapes, pump room overflow, light fittings, etc.).
        • Ensure that the building is inspected according to the weekly, monthly, quarterly, and yearly checklists.
        • Implement health and safety regulations and best practices at work.
        • Arrange movement of furniture as required.
        • Maintain and keep up-to-date the fire risk assessment and fire certificate
        • Understand and comply with the Bank's money laundering rules and procedures.
        • Assist in administration and security of the building
        • Set up dining room and assist with directors' lunches when required
        • Inspect the building for preventive maintenance, every day (Fire Alarm Panel, fire hazard, fire escapes, fire extinguishers, main alarm, cameras, video, tapes, pump room overflow, toilets, light fittings, etc.)
        • Participate in the inspection of building according to the weekly, monthly, quarterly, and yearly checklists"
        • Ensure that photocopy machines are operating effectively and that they are stocked with sufficient paper and tonerSkills and experience required
  • Must be smart and presentable with excellent customer services skills
    • To be familiar with statutory Health & Safety regulations
    • Familiar with utilities, air conditioning, lifts and all other aspects of building and facilities.
    • Good communication and interpersonal skills
    • Must be flexible and adaptable to take on ad hoc duties
