Our client is a fast-growing commercial office interior design/fit-out company.  They need an experienced all-rounder to support the Directors and to develop the "softer" HR elements of the business - specifically talent attraction and recruitment and making sure that all staff are motivated, developed, are engaged and feel supported.   They need someone with the 'soft'  people skills to develop the HR policies - a  formal HR qualification would be useful, but they would consider someone who had some hands-on HR experience who would like to study further and perhaps progress with CIPD training.   You will work closely with the Directors to ensure that they have good HR practices and policies in place, to make them an attractive employer of choice.   You will also provide PA support to the Directors - some diary and email management, client liaison, attending events with them (including client dinners / lunches / networking events), acting as the focal point for clients in their absence and generally being an ambassador for the company.

You will need to have excellent communication skills and be confident, personable and professional.  They all have a strong work ethic but they want to encourage a culture that is inclusive and fun.

 

Main duties will include:

  • Provide confidential and comprehensive Executive and PA support to the Directors including diary management, meetings, file management and the production of high quality letters, reports and presentations.

 

 

  • Support the Directors with management of workload; understand commitments; highlight and prioritise actions and deadlines; anticipate and provide information as required.

 

 

  • Prioritise all correspondence and telephone calls for the Directors and respond as appropriate. Independently deal with queries and written responses on behalf of the Directors.

 

 

  • Support the Directors as required by attending meetings, taking minutes and co-ordinating action points within agreed timescales.
  • Manage and co-ordinate arrangements for business meetings internally and externally as required.

 

 

  • Act as a role model, promoting best practice and an excellent standard of customer service.

 

 

  • Maintain all HR records including Personnel files for staff, annual leave, sickness records, probation periods, appraisal reviews, Health and Safety records ensuring compliance with Data Protection requirements.

 

 

  • Administer the recruitment process for new staff including placing adverts, collating and sending out job packs, co-ordination of interview process.

 

 

  • Process all new starter documentation, contracts of employment, and eligibility to work documentation. Prepare induction programmes in conjunction with the Directors and monitor delivery.

 

 

  • Design, implement and maintain HR systems to streamline processes.

 

 

  • Maintain up to date organisational charts, HR related policies and procedures on advice from outsourced HR Advisors and Legal Advisors.

 

 

  • Act as first point of contact for enquiries from managers and staff on HR procedures.

 

 

  • Liaise with the accountant to supply information on staff changes administration for payroll.

 

 

  • Prepare regular reports and information as required.

 

 

  • Organise arrangements for staff meetings and circulate agenda and reports.

 

 

  • Arrange training as required internally and externally and maintain up to date training records, collate training evaluation information and raise payments as required.
