Job summary
To provide first class professional legal PA and administrative support to the fee earners in the Residential Conveyancing team.
The Firm’s Real Estate department has established a reputation for providing practical and proactive commercial property law advice through a comprehensive understanding of the Real Estate market. The Firm is committed to a strong Real Estate function being at its heart.
Secretaries work principally for named fee earners, however all secretaries work as part of a team with shared responsibilities. Team members will be expected to prioritise and share tasks when appropriate in order to meet business needs.
Principal tasks and responsibilities
Main responsibilities will include:
• Producing correspondence via BigHand digital dictation system and/or copy typing – this is a high-volume typing role making up approximately 80% of the role.
• Regularly carrying out property searches using Land Registry, Stanley Davis and TM Search providers.
• Amending documents (at times lengthy) using track changes.
• Proof reading to ensure all documents produced are accurate and correctly presented.
• Preparation of accounts forms and, where necessary, management of client invoices.
• Liaising with the respective fee earner to establish priorities.
• Corresponding or speaking with clients/third parties as required.
• Downloading documents from data rooms into Filesite.
• Building documents using PDF docs to incorporate various documents for engrossment.
• Producing regular handover notes on a Tuesday to the other PA in the job share and vice versa acting upon instructions when returning to the office.
• Completing Laserforms where applicable.
• Corresponding or speaking with clients/third parties as required.
• Ad-hoc duties as reasonably required.
Technical skills / experience
Essential
• Experience in a demanding, high performing professional services environment.
• Proven experience of Property work.
• Typing speed of 75wpm+ and with a very high level of accuracy.
• Practical use of BigHand digital dictation system.
• Previous secretarial/PA experience.
• Ability to produce accurate, correctly presented documents.
• Excellent oral and written communication skills.
• Ability to work well under pressure.
• Excellent organisational skills and time-management skills.
• Excellent attention to detail.
• Ability to build relationship and work closely with other PA in allocation as well as communicate with PA in the job share.
Desirable
• Practical use of Word, Outlook and Filesite.
• Experience in completing property forms using Laserforms.
