THE COMPANY:
Our client is a well-established Insurance firm with an excellent reputation and employee retention. They are based in the heart of the City and are the parent company of specialist insurance businesses with operations in Europe, the US, Asia and Australia. They are seeking an individual to join their HR team and coordinate Recruitment and HR administration.

THE ROLE:
  • Act as the bridge between the recruitment team and the HR services teams
  • Responsible for production of contracts, ensuring signed contracts are issued to candidates within 48 hours
  • Maintain an up to date record of current status of all recruitment activity
  • Assist with setting up interviews during periods of high recruitment volumes
  • Ensure that the PSL list is kept up to date, including having written confirmation of PSL agreements in place
  • Ownership of timely and accurate invoice processing for the Recruitment Team and for following up on any queries from external agencies or the business
  • Coordinate the internship and Work Experience schemes to ensure the smooth and effective running of these annual programmes
  • Super-user for the Taleo recruitment system and assist the recruitment team in keeping the Oracle Fusion HR system updated
  • Manage job descriptions process for new starters
  • Ensure all Temporary Staff and Contractor check lists and authorisation forms are complete and filed appropriately
  • Create monthly temporary worker headcount and leaver reports
  • Complete the onboarding and induction process for all new contingent workers including the distribution and collection of all new starter forms.
  • Take ownership of the contract extension process including creating the relevant supporting documentation, coordinating sign-off and updating all relevant internal and external parties

THE PERSON:

  • Experienced and confident administrator with customer service skills
  • Experience of working in a Human Resources environment would be desirable
  • Minimum educated to ‘A’ Level standard or equivalent
  • Very strong attention to detail
  • Accurate and numerate
  • Excellent working knowledge of MS Office, including Excel
  • Process orientated and methodical
  • Ability to manage time, meet deadlines and prioritise
  • Able to work effectively under pressure
  • Good communicator with strong influencing skills
  • Positive and enthusiastic attitude
