A fantastic opportunity has arisen for a Part Time Personal Assistant to join a financial services firm based in Chiswick. The client is very flexible with the days or hours that the Personal Assistant will work and would suit someone who has been working in Central London as a Personal Assistant / Office Manager and wants to work closer to home. 

Duties include;

  • Organisation of number of set piece meetings across the business including board meetings, project and business reviews – management of agendas etc
  • Strong diary management skills, using initiative to find resolutions and workarounds
  • Ability to produce briefing materials on specific matters through research on the web and discussion across the business
  • To make travel and accommodation arrangements
  • High quality and accurate minute taking for meetings as required
  • Processing of monthly expenses in a timely manner
  • Provide administrative support for any ad hoc team projects e.g. offsites, onsites, social events, etc
  • Printing and collating documents for management meetings
  • Occassional project work as part of a team

Office Management duties, for up to 12 Senior Staff:

  • Greeting visitors for meetings and arranging refreshments and lunches
  • Order general office supplies and equipment for the office
  • Managing the relationship with our supplier
  • Handle incoming and outgoing office mail

Requirements;

  • Capable of working under pressure whilst juggling multiple tasks in a time sensitive environment
  • Previous PA experience at MD level
  • Experience in office management
  • Proficient in MS Office including powerpoint and excel
  • Analytical competency – able to work with figures, presentations etc in a logical manner

Personal characteristics required;

  • Hard working, committed – may need to have some flexibility of hours as and when necessary
  • Egoless, non-hierarchical, not status oriented, open straightforward, cost conscious
  • Proactive, takes responsibility, prepared to ask questions
  • Team player
  • Has to be comfortable working cross border into Europe and the US
  • This person will reflect the values of the organization and the CEO and its vital that he/she does that – will always be on show.  Capable of working under pressure whilst juggling multiple tasks in a time sensitive environment
  • Highly organised and focused with strong attention to detail
  • Strong communication and negotiation skills
  • Ability to communicate at a senior level

This is a great opportunity for someone looking for a part time PA role close to home and will be on a temporary basis until March at this stage.
