EA to MD and team within Investment Banking (Canary Wharf based) £20 per hour

Secretarial

•              Exclusive control of business schedule and diary management.  Maintain calendars, arrange internal and external meetings.  Act as ‘gatekeeper’ for diary and pro-actively ensure diaries do not have clashes, use initiative to find resolutions and workarounds

•              Arrange all conference calls, rooms, AV equipment, dial in numbers and video conference facilities

•              Extensive verbal and written interaction with internal colleagues and external clients ensuring the building and maintenance of relationships, both domestically and internationally, within the team and across other business units

•              Co-ordinate and book all travel including flights, hotels, currency, taxis etc

•              Visa Arrangement - Arrange when required

•              Process monthly expenses in a timely manner. 

•              Maintaining our in-house Client Relationship Management (CRM) Programme

•              Printing and collating all meeting documentation as required

•              Produce ad-hoc presentations upon request

•              Ordering Business Cards

•              Upkeep of filing systems

Person Specification

•              Maintain confidentiality on all aspects of workload

•              An experienced, confident, friendly, outgoing "people orientated" personality required, who is able to liaise with people on all levels to achieve work goals

•              Ability to be able to remain calm under pressure and deal with last minute changes to schedules effectively and efficiently

•              Self-starter

•              Pro-active ‘can do’ approach

•              Ability to use own initiative and judgement

•              Highly organised and capable of multi-tasking to meet deadlines

•              Large amount of flexibility e.g. a willingness to work overtime

•              Articulate; an effective communicator
