Lovely new Term-time School Secretary role at a very academic and prestigious private school in London, paying up to £25k - this is the salary you will take home (If the role was full-time the salary would be £32k). You will be based on Reception and also helping with any admissions administration.

Hours:

  • 7:45am to 4:45pm

  • Monday to Friday term time plus 3 Saturday Open Mornings in the Play term and 2 Saturday Testing days in the Lent term (pupils start arriving at 8am so the School Administrator must be ready to receive them)

  • All staff are welcome to attend School events

  • The School Administrator will be asked to support with the administration of occasional evening events

Holidays:

All of the School's main holidays, with exception of 1 week at the start and end of the summer holidays and two days at the start and end of the Christmas and Easter holidays.

This is a great atmosphere to work in and a lovely, happy team who all muck in together. The Headmaster is lovely, calm and quite laid back, he is relatively new to the School, only having started in September 2016. The Deputy Headmaster and Registrar also started within the last year so it is quite a fresh environment and character fit is important to them.

Front of House:

  • Answering the phone and dealing with general queries
  • Greeting visitors and ensuring they are signed in and out
  • Assisting pupils to offsite venues as required e.g. Church, Sports Centre etc.
  • Managing items 'dropped off' for pupils and ensuring their delivery / safekeeping

Administration:

  • Sending correspondence to parents via Clarion Call, creating e-forms when required and collating replies
  • Formatting and proof reading letters to be sent out to parents
  • Receiving deliveries and post. Distribution of all internal post and external post as appropriate
  • Managing the information on the school's electronic screens using Planet EStream.
  • Assisting with Extras (after school activities) - including monitoring pupil lists, timetables and room bookings
  • Ensuring that pupils are collected at the end of the day and liaising with sports coaches / liaising with transport providers if necessary
  • Assisting with end of term reports administration and school mail outs
  • Assisting with Lost Property
  • Setting up for Parent Evenings / internal school events as required
  • Assisting with end of term assembly preparation
  • Assisting with the administration for Drama productions
  • Undertaking other administrative tasks that may be reasonably be required by the Master and/or senior staff

Admissions:

  • Acting as first point of contact for calls related to admissions including queries about Open Days and the registration process at 7+, 8+ and 11+
  • Assisting with Open Day and assessment day preparations
  • Attendance at all Open Days and assessment days
  • Assisting with admissions mail outs
  • Monitoring and responding to school prospectus requests

Facilities Management:

  • Ensuring the School's photocopiers are working and supplies (toner, staples etc.) are in stock as required
  • Liaising with Contractors and notifying the Estates Bursar and Works Department of any problems/faults with School facilities and arranging maintenance work; where applicable liaising with School Caretaker
  • Submit dockets for repairs/ maintenance

Health and Safety:

  • Acting as a First Aider
  • Covering for the Matron at lunchtimes / in their absence
