Our client, an investment company based in the City, are seeking an Office Manager/Executive Assistant. You will be the lynch pin of the office and have an extremely varied and busy role that you can grow and develop. This is a fantastic opportunity for an enthusiastic and ambitious individual to join a successful, growing business and make the role your own!

The ideal candidate will have excellent organisation and communication skills, have experience within a similar role and be a real team player!

Duties and responsibilities

  • First points of contact both face and on the phone, met and greet clients
  • Attending meetings, taking minutes and keeping notes, as well as responsible for organizing weekly team meeting and distributing materials for meeting.
  • Managing meeting bookings, scheduling, set-up and preparing refreshments/lunch etc.
  • Assisting on developing and implementing new administrative systems, such as record management.
  • Organising the office layout and maintaining the supplies of stationery, equipment and kitchen supplies.
  • Maintaining the condition of the office, decor and arranging for any necessary repairs.
  • Liaising with colleagues and external contacts to book national and international travel, accommodation, car hire etc. And liaise with colleagues to prepare meeting itineraries for the business trip.
  • Liaise with management in arranging both in-house and external events.
  • Booking conferences, training, appointments, and restaurants and meeting venues etc., on behalf of colleagues.
  • Responsible for processing and managing invoices, expenditure and assisting with other finance tasks.
  • Liaise with I.T, printer, telephone, broadband (internet) service contractors with regards to set-ups, backups and maintenance.
  • Liaise with building manager, Landlord and assist with general property management.
  • Manage office cleaners and any other ad hoc service providers.
  • Diary management.
