A leading financial institution requires an experienced Secretary to support various managers within the technology division, for a period of 12 months
This is a diverse and challenging role, offering excellent development potential, the opportunity to get an insight into the work of the division and to play a part in assisting staff in carrying out key functions.
The main responsibilities of this role are completing general and ad-hoc administration duties, which will usually follow defined processes and procedures, including but not limited to:
- Managing specific managers' diaries including dealing with meeting requests, using judgement on which meetings take priority and ensuring the diary is maintained smoothly and effectively to maximise use of the managers' time
- Planning internal and external meetings and events, taking meeting actions, preparing and circulating papers
- Assisting in the production of documents and presentations and escorting visitors around the premises.
- Showing initiative in response to administrative requirements
- Appropriate management of detailed and confidential information
- Communicating effectively and confidently with both internal and external stakeholders
- Accountable for working effectively with other administrative staff across the division, covering in the absence of colleagues and proactively providing administrative support across the division as required
- Undertaking special assignments, projects, research and other ad-hoc administration as required
Skills and Experience
- Previous experience in a secretarial role, ideally within a corporate environment, is essential
- Good organisational, administrative, prioritisation and time management skills
- Ability to manage multiple tasks and issues
- Able to be proactive in approach to tasks
- Able to plan workload and to work collaboratively
- Ability to handle confidential and sensitive data with a high degree of discretion, maintaining confidentiality at all times
- Ability to build good working relationships across the Directorate
- High level of accuracy and a good attention to detail
- Willingness to learn
- Proactive in dealing with issues with the ability to communicate effectively
- Flexible, efficient and able to respond calmly and positively under pressure
- Good computer skills including Outlook, Word, Excel and PowerPoint
