A leading organisation is seeking a Business Support Administrator to join a team of 3 administrators to provide support to both a Director and a wider team. The role is a contract role until June 2017 and is based in Reading.

The successful candidate will be self-motivated with a hands on attitude and have experience operating at Director Level providing PA support. You will be organised and efficient at prioritising a heavy workload where you will work to tight deadlines. As you will be supporting a Director and a wider team the successful candidate will have the ability to deal with competing demands from a range of different people.

Director Support:
(Candidate will provide support to both the Director and team)

  • Pro-active diary management, responsible for keeping an overall view of the diary and ensuring that there is an optimum schedule for the meetings
  • Ensuring all briefing papers and supporting information for internal / external meetings are given to the Director in a timely manner, coordinated through AMs
  • Co-coordinating domestic and international travel on behalf of the Director including accommodation, transfers
  • Book meeting rooms, catering and AV for Directors meetings
  • Managing logistics for all internal and external meetings / presentations for Director
  • Manage and monitor actions from Leadership meetings
  • Delivering high quality and timely responses to incoming telephone calls, emails and correspondence
  • Scheduling and co-ordination of group meetings/offsites, including logistics, catering etc.
  • Assisting Sales and wider team on administration matters where time allows.
  • Reviewing team expenses
  • Delivering high quality and timely responses to incoming telephone calls, emails and correspondence
  • Photocopying and dealing with courier requests
  • Collection and distribution of mail for Sales teams, also acting as main point of contact for the Sales Leadership team when they are out or away from their desks - all parcels, messages.
  • Ownership of internal processes, including My order - creating Purchase Orders, tracking invoices, ordering Hardware/Software/Procurement.
  • Updating and monitoring Org Charts, team aliases, Sharepoint sites.
  • Responsible for 'New Starter' process.
  • Organising and managing online meetings for large group meetings.
  • Providing administrative assistance to ad hoc Group projects
  • Reviews, Fast Start and Kick-off/all-hands events for Services.
  • Provide back up support to other admins within the team during busy times & holiday cover.

Success Criteria:

  • Provides effective Director and Group support and enables all staff within the team to work as efficiently and effectively as possible.
  • Maintains and seeks to improve admin processes on behalf of the Group.
  • Error free and timely correspondence.
  • Uses initiative appropriate to position, escalating where appropriate.
  • The ability to understand and prioritize on behalf of the director.
  • Demonstrates exceptional time management, organisation and planning skills.
  • Demonstrates ownership, tracking and follow through to resolution on all queries and issues.
