Lease Administrator/Graduate Surveyor

City of London

£24,000

My client is one of the largest Real Estate companies in the world. They are looking for a Lease Administrator/Graduate Surveyor to support the Portfolio Services team. The team are responsible for managing the property estate for their clients, with a focus on maintaining strong, long term relationships with each client.

The successful candidate will be responsible for:

  • Maintaining accurate property database. Instructing the Data Management Team to update database for leases, licences to assign, S106 agreements, change of landlords etc. Verifying changes to database.
  • Checking and approving invoices. This will include a review of leases to establish if service charges should be challenged and challenging smaller service charges with landlords.
  • Management of client's partner's FM tracker to allocate jobs and ensure KPI response times met by Estate Managers.
  • Advising on repairing obligations in leases.
  • Dealing with and supporting Estate Managers with boundary issues.
  • Responding to requests for documents.
  • Preparing reports from database, creating and updating spreadsheet based reports and OPUS (in-house workflow tracker).
  • Management of account's generic email inbox and helpline and managing teams calendars for holidays, co location and out of hours support.
  • Responsible for management of OPUS and downloading of reports.
  • Distribution of post.
  • Population of key fields on spreadsheets for landlord consent projects.
  • Support Account Director with the preparation of workshops and presentations.
  • Support Account Director with placemats (PowerPoint) for quarterly SET meetings.

The ideal candidate will have/will be:

  • Previous experience working for a Real Estate company in an administration capacity
  • A degree in Real Estate would be preferable but not essential
  • Advanced IT skills (Word, Excel, MS Outlook).
  • Ability to prioritise and co-ordinate tasks efficiently ensuring all deadlines are met
  • Confident and assertive where required
