THE COMPANY:

THE ROLE:
- Coordinate complex travel arrangements, internal / connecting flights, trains, accommodation, car bookings and ordering foreign currency. Organising visas where applicable.
- Organising PA support during stay in other offices, IT requirements, office / desk space, passes, meeting room bookings
- Extensive proactive diary management for each Head; arranging internal and external meetings involving numerous time zones, challenging schedules, reoccurring meetings, conference calls and rescheduling meetings where appropriate
- Monitoring each Head's inbox daily and actioning, responding to and distributing emails on their behalf where necessary and appropriate
- Answering telephone calls from internal and external clients, relaying accurate messages / fielding calls for all Heads
- Preparing daily schedules, agendas and papers for each Head
- Preparation for meetings and teleconferences including preparation of papers, agendas, presentations, organising meeting rooms, refreshments, lunches, liaising with visitors and making the necessary IT arrangements
- Attending meetings, taking minutes and documenting these in a timely manner
- Arranging events, lunches, dinners and other events including viewing venues and menu planning
- Organising and arranging office space and seating arrangements for teams and Heads
- Processing expenses for foreign currency and credit card expenses
- Providing PA assistance to international staff visiting the London Office
- Administering holiday and absences for each Head and their direct reports
- Arranging for signatures and authorisation of expense claims / other required signatures
- Extensive management and coordination of workshops, conferences, team bonding and away days including venue arrangements and working to budgets
- Arranging training courses as and when required
THE PERSON:
- Proven experience of supporting senior individuals and senior stakeholders
- 65 wpm copy typing, advanced Outlook and Word. Intermediate PowerPoint, Visio and Excel
- Experience of a law firm or of working in a professional services environment (e.g. consulting or accounting) is desirable
- Ability to use initiative and be proactive
- Strong organisational skills and ability to prioritise
- Excellent attention to detail
- Enthusiastic, positive and committed team member
- Ability to cope with conflicting demands and meet deadlines
- Attention to detail with a high level of accuracy
- Excellent communication skills and confidence communicating at senior levels
- Communicates effectively at all levels, both verbally and written
- Excellent telephone manner
- Takes personal responsibility for getting things done
