THE COMPANY:


 


Our client is a global trade organisation and they have a new opportunity for an Office Assistant with facilites and Reception experience.   


 


 


THE ROLE:


 


The purpose of this role is to manage and control all aspects of office administration, maintenance and security for the office.


 
  • Manage housekeeping services by overseeing 3rd party cleaning contractors, suppliers and in-house catering arrangements.
  • Be the first point of contact for facilities managers for issues connected with security, fire, health and safety and maintenance requirements
  • Ensure adherence to health and safety requirements, ensuring appropriate training of fire wardens and first aid personnel and maintaining emergency evacuation procedure.
  • Reception duties from 1pm to 5.30 pm
  • Issue, control and monitor access card distribution.
  • Update internal personnel and tenants for all facility issues.
  • Liaise with function heads for external suppliers to ensure services meet the company needs.
  • Liaise with head office manager to ensure that best practice is implemented across both offices.
  • Process for payment 3rd party supplier invoices.
  • Oversee the use and utilisation of the basement storage area
  • Ensure records and filing are kept for easy access, and updated at all times.
  • Oversee the FM induction of new starters
 


THE PERSON:


 
  • Experience in office administration and facilities management.
  • Good level of expertise using Microsoft Office software.
  • Confidence and assertiveness to achieve goals in a respectful and positive manner.
  • High level of attention to detail.
