A leading investment bank has an exciting opportunity for a senior Executive Assistant to come on board and support the Vice Chairman within Investment Banking Division.
This role is a 6 - 12 month contract with the potential to go permanent. The Executive Assistant must be available to start immediately and have previous experience supporting at senior level within Financial Services.
The Executive Assistant will be responsible for:
- Extensive diary management, incl. requesting and organising meetings, conf calls, video confs
- Effective time management on behalf of VC
- Book meeting rooms/hospitality/VC facilities
- Ensure all calls are answered in a professional manner, messages are taken accurately and passed on immediately
- Extensive scheduling of client meetings, ensuring communicating to all involved regarding logistics etc
- Extensive organisation of internal meetings
- Booking travel and arranging all logistics in association with any travel
- Arranging visa's where necessary
- Acting as a gatekeeper
- Processing of all expenses both credit card and cash receipts within the T&E guidelines and deadlines
- Processing invoices
- Liaising both internally and externally via email and telephone with other PA's
- Organising client events, managing guest lists and keeping invitees and if appropriate Global Marketing up to date
- As a Executive Assistant you will need the following skills:
- Previous Investment Banking experience is essential
- Strong MS Office skills; experience with Word, Excel & PowerPoint
- Excellent understanding of urgency
- Ability to work quickly and accurately under pressure
- Ability to work independently
- Ability to pick up new systems quickly
- Ability to organise and prioritise complicated travel
- Excellent attention to detail
- Flexible on working hours and understanding of the business demands
- Able to manage stress, personable, self confident
- Ability to anticipate needs, particularly for repeated tasks
- Demonstrates outstanding work ethic
- Flexible on working hours and understanding of the business demands
- Produces high quality, accurate timely work
- Adapts communication style to needs of audience
- Able to anticipate problems and offer solutions
