Our client, a global construction company based in the heart of the west end are looking for an experienced PA who has worked within professional services, to support the Managing Partner and two Snr Partners within a reputable and sociable company. The successful candidate must have experience of dealing with HNWI clients and have impeccable communication skills both written and verbal.

The Role
  • Provide comprehensive PA support to a Managing Partner and two Senior Partners on a daily basis including complex diary management
  • Deal with all telephone queries and make informed decisions on appropriate requests
  • Maintaining email inbox, actioning and filing messages where appropriate
  • Manage and co-ordinate all travel arrangements (including visas) and logistics for the Partners as requested
  • Prepare responses to Requested Fee Proposals (RFP)
  • Create and update business documents when requested including briefing papers and presentations
  • Attend monthly board meetings and take minutes
  • Schedule meetings and co-ordinate diaries for internal and external meetings for the Partners and Associates (where appropriate)
  • Process expenses on a monthly basis and liaise with Finance for payment
  • General secretarial support for teams (typing, printing, and photocopying)
  • Organise events for Partner/Associates/Clients including lunches, dinners and team building exercises as well as organising internal Company events
  • Occasional cover of the reception desk, answering incoming calls and welcoming visitors

The Person

  • Clear and concise communicator who takes time to prepare/organise thoughts where appropriate.
  • An individual who is efficient and manages their own time effectively
  • Demonstrates a ‘can do’ attitude and offers to help members of the admin team when needed
  • An individual who is flexible, resilient and adaptable
  • Excellent attention to detail
  • Demonstrates the ability to keep information confidential at all times and apply discretion when needed
  • Previous experience working in a PA role supporting senior leaders
  • Advanced knowledge of Microsoft Office (and if possible, Indesign)
