One of the world's leading Universities is looking for an EA to join their team on a part-time six month fixed term contract for two and a half days a week. You will be providing high-level EA support and act as an assistant to help in the preparation and coordination of research, policy work and satellite projects.

Responsibilities:

  • Managing a diary, prioritising effectively and responding promptly
  • Liaising and communicating with senior policymakers, academics, business people, and their PAs
  • Coordinating a large volume of often complex international travel and accommodation as required
  • Organising and producing the agenda of regular research group meetings and other ad-hoc meetings with research team members including taking minutes
  • Maintaining a progress chart on milestones required for successful completion of research projects and policy engagements of the team
  • Managing a large volume of information coming in from often disparate research teams and assisting in coordinating them into centralised documents
  • Identifying potential gaps in delivery of output towards the production of research reports and alert team members
  • Liaising with typesetting staff to ensure that documents that are produced are of a very high standard
  • Perform proofreading and editing tasks on research and policy reports
  • Identify how minutes of research meetings feed into final production of documents
  • Identify press articles, other research or policy reports, and other pieces of information that may be relevant to the work of the group, and efficiently summarising this information into formats that may be utilised in the final production of reports by the group
  • Developing and maintaining a database of all collaborators, partners and contacts to support the research activities
  • Coordinating any public relations and press outreach activities to facilitate the dissemination of research and policy outputs
  • Acting as a central reference point for the group's collaborations with outside stakeholders
  • Attending key events to promote the activities of the research group
  • Providing support for researchers in coordinating research outputs to ensure that research milestones, interim and final reports are met
  • Providing editorial support including proofreading and sub-editing journal articles
  • Support researchers managing research budgets, and any additional research-related administration as it may arise
  • Processing expense claims and raising purchase
  • Working with the research team to develop publicity materials and reports
