An extremely successful leading global firm are searching for an experienced PA to provide support to the Director of Operations, 2 of his Regional Directors and some adhoc admin support to the Operations Team. 

This is a 12 month contract (maternity cover) with an immediate start.

  • Due to the very international nature of the team, the successful candidate must be fluent in one of the following languages: Portuguese or Spanish or Italian.
  • The role is based at one of their regional offices in Weybridge (Surrey), but there may also be  very occasional travel to their London Corporate HQ (Bond Street).

It is a very fast-paced and corporate environment, the Operations Team themselves are all extremely international and dynamic - as such, the successful candidate will be someone who is exceptionally professional, confident and adept at multi-tasking and prioritising, also very approachable and extremely proactive. 

Key Responsibilities:

  • PA support to the Operations Director, 2 Regional Directors and administrative support within the Operations team, including extensive diary management and travel arrangements – hotels, flights, transfers, visas etc.
  • Organising and attending the annual Operations conference, usually overseas for approximately 25-30 attendees based in UK and across Europe.
  • Assisting colleagues with annual IT conference, usually overseas for approximately 25-30 attendees based in UK and across Europe.
  • Extensive liaison both internally and externally (UK and internationally) with various stakeholders including colleagues, external companies and customers etc.
  • Organisation of various management / team meetings and workshops in the UK and overseas and attend as required.
  • Coordinating and attending the weekly operations team meeting, taking minutes and circulating, compiling team update reports.
  • Coordinating and scheduling monthly and quarterly operations calls with all countries.
  • Preparation of presentations, correspondence and documents, assisting in proof reading.
  • Organising induction schedules, IT equipment and general assistance for new starters.
  • Organising induction visits for international colleagues, including assisting with schedules, hotels and transfers etc.
  • Any other personal or business adhoc activities / support of senior management as required.

Successful Candidate:

  • Senior Level PA / Admin experience: gained within Professional Services, Corporate / Blue Chips firms, Corporate Finance, Investment Banking etc.
  • Fluency in either: Portuguese, Spanish or Italian.
  • Excellent organisational and coordination skills: with a solution driven approach.
  • Resilience: with the ability to work well under pressure in a busy, international and fast-paced environment.
  • Focused and committed approach: this is an opportunity to get involved and use your initiative.
  • Exemplary communication and interpersonal skills: with meticulous eye for detail and building good relationships across this large established global organisation.
  • Intermediate / advanced IT skills.
  • Educated to degree level or equivalent.

Salary is £32,000 to £37,000 + plus excellent benefits (bonus, company matching pension scheme, 25 days holiday, health insurance, subsidised gym membership + other exclusive staff incentives).
