Office Manager

As remarked by Caroline Rees Williams, Operations Manager at The Valesco Group, and winner of the SecsintheCity Office Manager of Year Award, ‘Office Managers conduct the invisible role - no-one outside of our industry fully knows what an Office Manager does, as we often operate behind the scenes. The team arrive each day to a seamlessly functioning office, not necessarily aware of just how much happens in the background.' The judges of the awards relished her energetic, fresh and ambitious approach to the role, with The Valeso Group deeming her an invaluable asset to the operation and an effortless winner of the award.

A role which stands in a highly competitive recruitment market, your Office Manager CV requires a certain calibre, finesse, and demonstrable experience regarding your skills, achievements, and abilities to go above and beyond.

With recruiters typically spending less than a minute scanning CVs, every word on your Office Manager CV must have a purpose. Tailoring your CV to the specific role is a necessity. Clearly showcasing how your expertise meets the requirements of the job advert, will help to demonstrate why you are the ideal candidate for the advertised role.

According to our latest Salary Survey, Office Managers earn an average of £43,759 per annum. Alongside this, 61% of Office and Operation Managers received a pay rise in 2023, with 49% conducting a hybrid working model, and 44% taking home a bonus.

CV Template: (maximum two sides of A4)

Your Personal Details:

Full Name

Address

Phone Number | Email

Personal Statement:

4-5 sentences highlighting your expertise, demonstrating how your skillset aligns with the role. This personal statement is the first port of call on your CV; make it short, succinct, and tailored specifically to the job advert in question.

Example:

“A dedicated and strategic Office Manager, with over 3 years experience working as an Office and Operations Manager for a global pharmaceutical company, conducting a pivotal role in efficiently overseeing daily operations, implementing streamlined processes, and reducing facilities costs by 10%. Honing high-end organisational skills, coupled with a keen eye for detail, to ensure optimal office functionality.”

Skills:

Follow your personal statement with a list of hard, technical skills and accreditations unique to the job advert. Your skills section is for hard professional skills that ensure that you’re quantifiable for the job, moving away from soft transferable skills, such as ‘team work’, ‘communication’, and ‘interpersonal skills’.

Example:

Quantifiable Skills:

• Knowledge of Customer Relationship Management (CRM) systems
• Experience with financial software, such as QuickBooks and SAP
• Data Analysis: Strong Excel proficiency
• IT Troubleshooting: intermediate troubleshooting skills for resolving common IT issues

Employment History:

Start with your current/most recent position. Use a concise structure throughout, detailing the job title, company name, the dates you worked there, and a brief summary of your most recognisable responsibilities and achievements. Using active language and a variety of power verbs will help your achievements to stand out, for example, instead of saying ‘lead’ and ‘did’, use ‘spearheaded’ and ‘conducted’. This section is a chance to demonstrate the value you brought to your previous/current company, whether you spearheaded initiatives to enhance client interactions, resulting in a 15% increase in client satisfaction scores and repeat business, or established clear communication channels, leading to improved interdepartmental coordination.

Quantifying your skills is essential. List your skill, emphasise your expertise, include stats and figures (when possible) to back it up, and finish with a link to your desired role.

Example:

Office Manager | [Name of Company] | October 2020 – Present

• Implemented and maintained office policies and administrative systems
• Effectively managed an office move within the space of 3 months, meeting deadlines and exceeding project goals, showcasing strong organisational and multitasking abilities.

Achievements:

• Received the “Office Manager of the Year” award from SecsintheCity, acknowledging a fresh and ambitious approach to the role.

Office Coordinator | [Name of Accountancy Practice] | September 2018 – 2020

• Implemented cost-saving measures, such as renegotiating vendor contracts or optimising office supply management, resulting in a 17% reduction in operational expenses.
• Orchestrated successful office events or meetings, demonstrating strong organisational and logistical skills, and receiving positive feedback from participants.
• Developed comprehensive documentation for key administrative processes, contributing to a more transparent and standardised approach to office tasks.

Education:

Begin with your most recent qualifications. We suggest listing your latest one/or two educational achievements, such as your apprenticeship and the professional qualification you've achieved during your career.

Example:

• Office Manager Apprentice | X Company, London, UK | September 2016 - July 2017
• IAM: IQ Level 4 Certificate in Office and Administration Management
