Overview of role:

This is an all encompassing secretarial role primarily working for the Director of Global Distribution whilst providing support to Director of Institutional Business. As well as the traditional secretarial work, including extensive diary management, this role would suit someone who is confident and preferably has experience of dealing with key clients and when necessary can make sound judgment aligned to the company’s priorities.

The role will also involve working closely with the other secretaries in the Listed Assets business.

Main Duties and Responsibilities

• Provision of a full secretarial and administrative support service
• Extensive and complex diary management, prioritising and filtering out non-essential meetings, co-ordinating any combination of internal/external meetings with minimal supervision from manager
• Screening of e-mails /prioritising/answering/deleting as appropriate
• Internal/external telephone liaison, ensuring timely and accurate transmission of messages
• Ensuring both Director of Global Distribution and Director of Institutional Business are adequately prepared for meetings
• Preparation of agendas and minute-taking at meetings as required
• Extensive travel organisation with associated currency and expenses reconciliations, preparation of Itineraries
• Arranging appropriate client entertainment when required
• Monitoring and maintenance of absence records for Director of Global Distribution, his direct reports and their Secretaries
• Coordinating and Inputting expenses on behalf of Director of Global Distribution and Director of Institutional Business
• Submission of FSA records & T&C returns
• Co-ordination of appraisals for all of Director of Global Distribution direct reports within the deadlines stated
• To provide lateral cover for secretaries within Global Distribution during holidays/absences
• Filing and other administrative duties as required

Skills
Technical Skills & Qualifications Required
• Educated to A Level standard or equivalent
• MS Office to an Intermediate standard – PowerPoint and Excel Advanced
• Candidates with proven senior level secretarial/administrative support experience required.
• Experience of Financial Services, either Asset Management or Banking, is desirable.
• Excellent Microsoft Outlook
• Advanced typing skills
• Minute taking desirable
