This is a PA role working for a very reputable and well known Educational research facility. The position is to support a highly influential and impressive Professor. They are looking for an enthusiastic and flexible individual with previous experience providing diary coordination as well as administrative support in a busy and demanding environment. They ideally are looking for someone with experience within the industry and an interest within the educational sector. This positon will be 80% time management to organise her diary and travel.
- Acting as a first point of contact for meeting request and general enquiries, managing a complex schedule, prioritizing competing demands on time in line with current and longer term priorities, and advance planning and scheduling to ensure deadlines are met and research projects completed successfully.
- To prepare briefings for all meetings, decisions, overseas travel, and public engagements, and drafting materials and arranging briefing sessions with relevant colleagues where required.
- Develop strong working relationships with a wide range of internal and external contacts
- Plan and manage complex international travel itineraries across time zones, including booking travel and accommodation, and to arrange and process reimbursements.
- Plan and organise regular and ad-hoc meetings, including booking rooms, organising refreshments and servicing meetings as required including collating agendas and taking minutes.
- Lead responsibility for maintaining and developing the Professor’s academic and departmental web and social media presence
- To proof-read and/or format documents, spreadsheets and presentations and arrange print and photocopying.
- Initiative, flexibility and creativity in solving problems within own area of responsibility when they arise. To anticipate problems that may arise and prepare for them.
