Learning & Development Administrator

We are looking for a Learning & Development Administrator,  The Learning & Development Administrator will be reporting to the Head of Learning & Development (UK), the learning & development administrator will be required to provide a full range of high quality administration to the team.  This will involve scheduling, organising and administering seminars, courses and trainee solicitor seat inductions both on and off site; and supporting, at busy times, their fellow administrator, in particular, to update the training records database (through the Learning Management System (LMS)). It is essential that the incumbent communicates effectively at all levels and works well within a team, has a service orientated approach and has excellent numeracy, organisational and powerpoint skills. 

The Learning & Development team provides clear practical advice of the highest standard to their clients as well as a range of training programmes and events to ensures that the lawyers keep fully abreast of legal innovation and the skills required to further their pre-eminent position in the market.  The Learning & Development programme plays a key part in achieving this and provides lawyers with the opportunity to share their knowledge and expertise with their colleagues.   The team is also responsible for identifying training needs and sourcing appropriate training for Business Services staff to ensure the highest standard of support is provided throughout the Firm. 

Main Responsibilities of the Learning & Development Administrator
Schedule, organise and administer the core curriculum, and talent management programmes and assist with trainee solicitor inductions
• Schedule seminar dates in conjunction with the L&D Manager responsible for the fee earner core curriculum
• Advertise seminars to prospective attendees – send invitation email and display information on the applicable platforms
• Collate invitation responses
• Ensure CCR attendance is captured and recorded for internally organised seminars
• Liaise with speakers/trainers regarding seminar materials
• Liaise with facilities regarding room lay-out and equipment
• Liaise with internal caterers
• Produce seminar materials in accordance with speaker/trainer instructions
• Supervise the production of the seminar on the day including the day starting and finishing smoothly
• Disseminate seminar materials to non-attendees
• Assist the Head of Learning & Development (UK) with talent management programmes and as required
• Assist the Global Head of Learning & Development as required

Budget and invoice administration
• Administer receipt, payment and recording of invoices
• Supervise maintenance of budget expenditure spreadsheets
• Liaise with training providers and accounts payable regarding payment of invoices
• Approve invoices for payment at first stage
• Reconcile the team's credit card payments and any expenses incurred by the team
• Organise and attend the budget meetings that take place monthly with finance
• Organise and attend the annual budget meetings with the practice area groups

Support the administration of CPD/training records at busy periods
• Maintain accurate and up-to-date records
• Deal with CCR/training record enquiries

Candidate Specification
Experience
• Experience in a learning and development/training/HR admin role, preferably within a partnership/professional services environment

Essential
• Scheduling, organising and administrating seminars and off sites
• IT proficiency - a good working knowledge of MS packages (excel, powerpoint and word)
