THE COMPANY:

Our client is a highly prestigious and well established property/real estate firm. They manage and invest some on the UK’s most important land, property and assets. They are currently seeking an experienced Team Coordinator to support their Legal, Secretariat & Knowledge department.

THE ROLE:
  • To provide full administrative support to the Legal, Secretariat and Knowledge team in all aspects of administration, facilities and organisation
  • Organise travel and accommodation arrangements for business trips including preparing business expense claims.
  • To assist the team with post, scanning, photocopying and maintaining / updating paper and electronic filling
  • Arranging internal and externals meetings and diaries
  • Preparing and typing documents
  • Taking minutes of meetings, typing them up and circulating
  • Providing technical assistance as requested
  • Organise any internal team events
  • To manage the legal team’s extranet, coordinating with panel firms to populate the extranet with up to date template legal documents across all portfolios
  • Point of contact for enquiries received from the public and external contacts, which may arrive in writing, verbally, or electronically. Ensure they are logged and distributed to the relevant team members, following up on responses.
  • Competent user of all databases with the ability to complete tasks including completing searches, maintaining accurate data and other related tasks as requested.
  • To provide cover for the Board Secretary in their absence by carrying out relevant duties including processing, collating and distributing Board and committee papers.
  • To provide support to the personal assistant of the General Counsel and Company Secretary as required

THE PERSON:
  • Gained similar experience within a legal / secretariat environment
  • Experience of providing business support to a dynamic, professional team, dealing with a wide range of issues and stakeholders in a commercial environment
  • High level of IT competence, with strong capabilities using MS Office (Word, Excel & Powerpoint) and ideally with knowledge management systems
  • Experience of diary management for senior management and team members
  • Experience administering a finance system such as Agresso, or demonstrable knowledge of the purchasing cycle of requisitions, purchase orders and goods receipting
  • Excellent written and verbal communication skills
  • An aptitude to work in a team and take a flexible approach
  • Great organisational skills with the ability to identify priorities while maintaining high levels of accuracy
  • To act in a confidential manner
  • Ability to work under own initiative
