Marylebone - £23ph - 6 Month Contract

Our large banking client is looking for a experienced Executive Assistant for a 6 month contract. You will provide seamless secretarial support to dedicated Global Markets Executive managers and their direct reports including diary and inbox management.

Duties Include:

  • Extensive inbox and diary management to Senior Managers
  • Coordinating with other Exec assistants, to understand management whereabouts and to provide seamless cover at all times
  • Organization of meetings including documentation preparation and invitations
  • Arrange and attend weekly management meeting: agenda; minute taking and distribution via email/SharePoint
  • Manage and filter all incoming calls
  • Coordination of conference calls (internal and external) and appropriate meeting room bookings in accordance with internal systems
  • Travel booking: complex, multi leg trips, travel itineraries and visa requirements.
  • Processing and thoroughly checking expenses to ensure they are in-line with policy
  • General secretarial duties, including photocopying, faxing, filing and archiving, scanning, ordering magazines, stationery, payment of invoices, arranging couriers, etc.
  • Other ad-hoc tasks requested by team members

Support for other assistants:

  • Providing seamless cover for other assistants during lunchtimes and covering telephone lines as and when necessary - taking messages accordingly
  • Providing seamless cover for other assistants during holidays and sickness absence
  • Close collaboration with the other assistants to ensure a consistent and streamlined service is provided across all teams.

  • Excellent organizational skills with proven experience of working under pressure
  • Ability to familiarize quickly with key internal and external contacts
  • Demonstrable interest in the business
  • Competent working independently and thrives working as part of a team
  • Ability to proactively follow-up on manageable actions points from meetings/emails to ease the pressure on Senior managers
  • Strong attention to detail
