Fantastic opportunity for an experienced PA/Team Assistant to support multiple Directors in an exciting and growing area of this Major TV Network. This will be a busy, varied role which will require acute attention to detail and the ability to deal with constantly changing priorities. You will be a 'Monica' when it comes to organisation and duties will include:

  • Extensive diary management including coordinating internal, external meetings and calls ensuring all parties are available for arranged meetings and key stakeholders are advised of any changes to their schedule in advance
  • Organise multi-site video conferencing and telepresence sessions
  • Organising complex, multi-city travel itineraries including arranging local transfers, visas and restaurant arrangements, including creating and managing detailed itineraries and document preparation
  • Manage and update contact databases (any other systems required)
  • Preparation and processing of expense reports ensuring timely repayment of corporate credit cards
  • Receive and welcome visitors ensuring that prior to meeting all logistics are in place (room booking, set up and refreshments) and required documents are prepared in advance where required
  • PO creation and chasing of payments
  • Ad hoc project work and admin assistance to support the people agenda across Television including some project management
  • First point of contact for all external matters including call screening, processing mail/post, meeting requests
  • Co-ordinate IT requests, stationery ordering and equipment maintenance
  • Organise offsite events and conferences for immediate team and wider business

Skills/Experience

  • Able to plan work on his/her own initiative and to tight deadlines, managing priorities from multiple teams
  • Super-user of Microsoft office, Outlook, Word, Excel, and strong PowerPoint
  • Solid demonstrated experience as a Personal Assistant with excellent Administrative skills
  • Strong sense of initiative and a proactive style to work on own projects
  • Excellent organisational skills, with proven experience in arranging business events;
  • Ability to manage pressure and conflicting demands, as well as prioritising tasks from a number of key leaders
  • A can do attitude, positive, honest, reliable and energising
  • Able to plan work on his/her own initiative and to tight deadlines
  • Proactive attitude, be on top of work and team priorities to anticipate needs
  • Excellent verbal and written communication
  • Strong numerical skills;
  • Attention to detail and the ability to deal with sensitive and confidential information in a discreet manner
