Handle Recruitment is working with an independent media agency based in the West End to find an experienced Office Manager to ensure the efficient running of the company's offices and support systems. This is an exciting opportunity for someone looking for autonomy and the opportunity to really make a role their own in a fun, fast-paced, media environment.

Key Responsibilities:

Office Management

  • Maintaining the overall aesthetic appearance of the office at all times
  • Arranging for repairs and planned works where necessary
  • Responsibility for office seating plans and liaison with HR & Reception
  • Managing all Office & IT insurance contracts
  • Managing relevant office running budgets
  • Supervising the Reception/Support team and working arrangements of the IT team
  • Designing and implementing office policies by establishing standards and procedures
  • Ensuring H&S policies are up-to-date
  • Key responsibility for major office refurbishments and potential office move

IT Management

  • Leading team managing IT strategy, Solutions and IT Support
  • Security of Network and Systems and Back-Up
  • Responsible for IT maintenance contract and directing priorities as they arise via IT support company
  • Designing systems to identify and plan staff support requirements re IT & telephony
  • Maintaining asset registers and staff IT asset use
  • Ensuring the technology support requirements and IT facilities remain first class
  • Managing on and offline back-ups of all servers & disaster recovery procedures
  • Exploration, costing, assessment, recommendation and implementation of new technologies/services to improve business efficiencies e.g. 'cloud' back-ups, fibre-optic broadband, etc

Data Protection and Data Management

  • Implementing data management and data protection policies and systems
  • Office administrative systems
  • Designing and managing both physical and Directory filing systems
  • Use/Understanding of a range of office software including email, spreadsheets and databases

Administration

  • Company & Office administrative systems

Candidate Specification:

  • Previous experience in a similar role; managing big office projects / office moves
  • Confident, determined personality
  • Very strong Admin focus
  • Flexible can-do attitude and proactive
  • Trustworthy & Team player
  • Great communicator (verbal and written) to apply at all levels across the company
  • Capable of managing own workload
  • Tech savvy
