A fantastic Media Agency based in Kings Cross area looking for an Office Manager/Receptionist to be based in their busy, head office. Must have Office Management experience (not just reception)

Office management duties:

  • Managing the day to day relationship with the printer/photocopy and cleaning suppliers;
  • Spotting issues/managing issues as and when they arise;
  • Liaising with all suppliers (including plumbers/ electricians)  to find a solution
  • Ensuring health and safety policy is kept up to date
  • Undertaking office management inductions for new joiners.
  • Facilities management; specifically, the upkeep of the building and liaising with landlords over common areas
  • Arranging alarm testing (including fire alarm) and fire drills
  • Managing the archiving of files and office items
  • Ensuring the kitchen area is kept clean and tidy
  • Coordinate office projects such as reorganisations and a potential moves

 

Reception duties:

  • Present a professional, helpful and cheerful welcome to all callers and visitors; greeting visitors, offer refreshments and informing colleagues of their arrival. Answering the phones promptly, transferring calls and taking messages.
  • Ensure that the front of house area, meeting rooms, communal areas and facilities are clean and tidy, fully functioning and well stocked with the necessary supplies
  • Management of the meeting room and conference call bookings
  • Meeting room set up and providing refreshments and ordering catering for external meetings
  • Coordinate celebrations for birthdays, anniversaries, new house, wedding, etc., working within the budget to arrange cards and presents as appropriate
  • Managing the subscriptions of newspapers and magazines
  • Booking travel
