PA to Global Director and Team of 4 Global Partners

This is a great opportunity for a loyal, dedicated and knowledgeable Personal Assistant who has fantastic experience operating on a global platform within a major corporate organisation, ideally Real Estate background.

Role Purpose:

We are looking for an experienced PA & Executive Assistant to provide a whole range of secretarial and organisational support a team of 4 Business Development leaders to enable them to execute the firm’s strategy and business plan and provide best in class service.

Core Responsibilities:

  • Providing a true PA service to the Director – being totally immersed in his day to day operations
  • Extensive diary management – being super pro-active and thinking ahead
  • Keeping inboxes up to date and responding where appropriate, flagging emails and ensuring they are actioned
  • Prepare and collate materials for meetings and making sure packs are ready in time for meetings
  • Schedule, book and arrange resources for conferences, meetings, appointments and travel following firm policies for contracting with external and internal suppliers, e.g ensure use of company travel supplier
  • Arrange conference calls across different time zones
  • Typing of correspondence
  • Create high standard PowerPoint presentations
  • Format and coordinate reports in Word and Excel
  • Keep sales trackers up to date using Salesforce, and coordinate relevant activities
  • Provide reporting & MI output on a regular basis
  • Be a gate keeper as and when necessary
  • Processing expenses
  • Maintaining and updating reports, data bases, client information as and when necessary
  • Binding and scanning of documents
  • Provide ad hoc support to the wider team when required
  • General ad hoc duties

    Knowledge & Experience:

  • Strong PA background with experience of supporting senior level positions
  • Highly proficient in Microsoft Office applications
  • Strong written and verbal communication
  • Outstanding attention to detail is essential
