A leading European Services Provider is looking for a PA to support the Financial and Commercial Director. This is predominantly a 1:1 role supporting the Director who is NOT based in London so there will be a lot of remote support for the Directors and ad-hoc support for the direct reports. The Director travels around the UK constantly so needs someone to be highly organised and be aware of her movements. The PA will be based in London (Holborn) and will sit with a group of PA’s in an open plan area so creating a team feel. They encourage a work/life balance, give the PAs laptops and phones so can work from anywhere.

This is a fairly traditional role but looking for someone who can get involved in other projects – events and conferences etc. This is a new role so will develop in time.

Must have a stable work history and a minimum of 5 years supporting at senior level in a good corporate and complex organisation. Finance is beneficial but not essential. Looking for someone upbeat and confident who is professional, well-spoken and highly organised. Ideally someone who is accustomed to supporting someone in a remote capacity but this is not essential.

Daily Responsibilities:

  • Diary management
  • Email management
  • Liaising with internal and external colleagues on behalf of the Directors
  • Organising accommodation and travel including flights, trains, cars etc.
  • Produce letters outlining the yearly salary increase and bonus objectives for the F&C’s direct reports
  • Issue letters and documents for senior appointments
  • Provide ad hoc support for other Directors
  • Reply to correspondence on behalf of Directors
  • Provide admin and support for Board meetings
  • Placing orders on the system to ensure purchase orders are received for suppliers and troubleshoot invoice queries as required
  • Collate information for business reviews
  • Monitor and resolve any issues with office equipment
  • Consolidate agenda and presentations for leadership team meetings
  • Coordinate and prepare monthly rail leadership papers
  • Monitoring and placing stationery orders
  • Put together the yearly calendar
  • Project management of ad hoc projects including off site events and conferences
