We are A bespoke medical clinic and we are looking for a Receptionist/Administrator to join their team on a permanent basis. You will be responsible for all reception duties and maintenance of their smooth running. Management of the appointment system, handling of all incoming communications and non-clinical outgoing communications.

Responsibilities:

  • Responding to all non-clinical queries and requests for assistance from patients, doctors and others
  • Forwarding clinical queries to relevant team member and monitoring to ensure response is provided in a timely manner
  • Ensuring that requests for prescriptions are actioned where possible within one working day
  • Assessing and identify patients in order to prioritise their needs effectively
  • Meeting and greeting patients
  • Obtaining all necessary documentation for the registration of new patients
  • Using central electronic filing of documents effectively
  • Receiving specimens from patients ensuring all their details have been recorded and following the practice Health and Safety policy
  • Checking practice stationery and request reordering of supplies or photocopy supplies where necessary
  • Opening and distributing post mail
  • Depositing all non-electronic payments at least once per week
  • Booking appointments and recalls including use of PMS patients waiting for appointment list
  • Ensuring sufficient information is recorded to retrieve medical records
  • Monitoring effectiveness of the system and ensuring that action is taken to resolve any problems or effect variations as required
  • Maintaining an excellent knowledge of the clinic diary to ensure that patients do not experience unnecessary delays
  • Ensuring that patients without appointments but who need urgent consultation are seen in a logical and non-disruptive manner
  • Updating patients' records by scanning documents into patients computerised medical records according to the scanning protocol
  • Downloading pathology reports
  • Ensuring that when accessing data relating to patients, the information obtained and used is registered appropriately under Data Protection Act
  • Ensuring that all information held centrally by the practice relating to the patient's health, medical treatment, personal details and registration details remains confidential to the practice and patient
  • Ensuring that all requests for medical information about a patient from external organisations and patients family members is legitimate, complies with Access to Medical Records and other legislation, has the written consent of the patient and practice
