Our client, one of the world's largest telecommunications retailers is looking for an EA to support their CEO in a one-to-one role on a 12 month fixed term contract starting immediately. The role of the EA is to provide high quality support to the executive director they are responsible for and to provide day to day personal administrative support and assistance.

Responsibilities:

  • Providing comprehensive diary management for all directors
  • Working closely with fellow colleagues and EA's to organise executive meetings, project
  • Coordinating departmental away days
  • Liaising with external clients to arrange meetings either on site and at an alternative location
  • Booking meeting rooms and venues, ordering catering and organising the provision of any equipment necessary
  • Collating reports and papers in advance of meetings
  • Managing the holiday rota of the directors as well as their team member's holiday
  • Arrangement of rail, air, car travel and accommodation for business trips in line with company policy
  • Liaising with other EA's when multiple directors are travelling to same destination
  • Preparing travel itineraries
  • Organising entertainment bookings
  • Managing and responding to all written correspondence, including letters and email
  • Screening all phone calls and listening to voice-mails
  • Dealing with all internal and external queries and promptly briefing the relevant director
  • Assisting relevant directors in managing email traffic
  • Ensuring director level customer service issues are recorded and actioned appropriately
  • Completing research as and when required
  • Typing minutes as and when required and distributing accordingly
  • Producing from the director's draft and editing PowerPoint presentations to a high standard
  • Compiling information for reports including using excel to compile data to agreed templates
  • Undertaking any specific projects as requested

Preferred Skills and Experience:

  • 3-4 year's experience as a PA or EA
  • Hard working and proactive work ethic
  • Highly focused on delivering world class customer service
  • Dynamic problem solver with the ability to think on their feet
  • Excellent planning and organisation skills
  • Professional attitude and approach to work
  • Excellent written and verbal communication skills
  • Advanced Microsoft Office application skills
  • Enthusiastic and confident to challenge
