Our client a world leader in Health Services is looking for a Personal Assistant (PA) to support the Senior Management Team on a permanent basis.

Responsibilities:

  • Effective management of the electronic diaries of the senior management team including assessing priority of appointments and reallocation as necessary
  • Organising internal and external meetings for the senior management team including booking venues, arranging equipment and catering where necessary
  • Planning and arranging domestic and international travel and itineraries in an efficient and timely manner
  • Providing support for an extensive range of meetings including; preparing agendas, preparing pre meeting briefings, meeting papers, ensuring distribution of all relevant meeting papers in a timely manner and attending to taking minutes
  • Providing support where necessary to staff members including representing the senior management team at internal and external meetings
  • Acting as first point of contact for the department including; receiving and dealing with telephone calls professionally, redirecting or taking messages and using initiative to deal with queries
  • Typing letters, operating mail merge, creating and editing reports, spreadsheets and PowerPoint presentations as required
  • Using MS Office to a high standard
  • Prioritising the workload effectively to ensure agreed deadlines are met
  • Coordinating and maintaining the Cancer Network and Clinical Services electronic folders including maintaining accurate file records and bringing forward systems
  • Providing ad-hoc support to other directors and managers as needed
  • Processing department invoices including creating new vendors
  • Managing the departmental mailbox and calendar including; inputting annual leave and sickness absence for department members, responding to any mail queries and booking team meeting room
  • Processing expense claims for directors
  • Arranging induction plans for management new hires
  • Undertaking ad-hoc duties as requested by the directors
  • Coordinating departmental events.
  • Projecting an efficient and professional image at all times including displaying punctuality, competence and communication skills to a high level
  • Maintaining strict confidentiality of highly sensitive company data and personal information
  • Providing cover for any other administrative team members as required
  • Acting as first point of contact for the IT department including logging IT requests and managing equipment replacement and repairs
  • Acting as department point of contact for arranging interviews, new staff induction and equipment requirements
  • Assisting the directors with Human Resources paperwork requirements including yearly reviews and audit of department Human Resource files

Requirements:

  • Very well spoken and written English
  • Secretarial skills and qualifications
  • Previous experience at a senior PA level
  • Computer literate
  • Electronic diary management using MS Outlook
  • High level of competence in Microsoft Office packages
  • Knowledge of hospital departments and personnel and that of other hospitals within this group
