Our client, the leaders in technology and online industry are looking for an Office Coordinator/Junior Project Lead to manage existing vendor relationships, space planning, facilities, corporate apartments and take the lead on office projects across London (and potentially Europe offices too). This is 12 month contract (with the view to transition to permanent) and it essential that you do not have space planning experience the you have previous experience in managing an office move.

As an Office Operations Coordinator, you are fundamental in ensuring that all operational aspects of our newest and fastest-growing locations are running smoothly. In tandem with the Office Operations Manager, you will be a cultural conductor that is responsible for creating and maintaining an office environment where our engineers love to work on the world's hardest problems.

On the Operations team, no two days are the same, and you actively plan for and respond to anything that's thrown your way. You find order in chaos and thrive when faced with new and interesting problems. In short, you do what needs to be done under tight deadlines, without making excuses. With an infectiously positive attitude, you strive to make everything run seamlessly every day by completing numerous projects faster than most companies even know where to begin.

You are an individual contributor but are working alongside and as part of an Office Operations team of approx. four in London - with the potential to travel to European offices to assist where necessary (up to 25% of the time).

Responsibilities:

  • Executing all operational aspects of the London office, surrounding offices and corporate apartments including real estate projects, kitchen, maintenance, front-of-house, shipping and space planning
  • Establishing and improving vendor relations including food, janitorial and office suppliers with a bias towards automation
  • Liaising with property managers and subcontractors to ensure timely completion of building and space issues
  • Identifying inefficiencies and creating processes and solutions built to scale
  • Assisting with planning, supporting and executing office events and external conferences
  • Handling all last-minute requests and issues
  • Performing general administrative tasks

Preferred Skills and Experience:

  • University degree, or experience in a similar role
  • Dedication, flexibility, transparency, and professionalism
  • Ability to creatively and efficiently prioritise and execute against several tasks and projects
  • Ability to work effectively in a team and in an autonomous environment
  • Extraordinary communication, interpersonal, and problem-solving skills
  • Ability and enthusiasm to travel as needed, up to 25% of the time
