Our client, a leading Engineering Consultancy, has an opportunity for an outstanding Group Coordinator on a permanent basis. This is a brilliant opportunity for an experienced administrator looking to further their career and work in a dynamic project team. You would be responsible for the smooth, efficient and successful operation of all the non-technical administration of the group.

This role has a strong focus on collating bids and tenders, so proven experience with this is essential and knowledge of InDesign would be ideal.

Team Coordination:

  • Ensuring that staff timesheets and expenses are submitted promptly
  • Managing allocation of IT hardware and software
  • Ensuring that the IT requirements of the group are notified to IT Support
  • Assisting with resource planning
  • Managing business travel arrangements for the team
  • Maintaining an informed position on team diaries including taking messages and managing interfaces with external and internal contacts
  • Maintaining the Group's intranet site
  • Understanding the filing and archiving systems
  • Organising and attending team meetings, including following-up action points and taking minutes

Project Acquisition:

  • Preparing bid materials and bids, often with a short turnaround, for the group
  • Liaising with the Business Development team with regard to the teams bidding for submission including; collating relevant experience, liaising with architects and design submission documents as appropriate
  • Collaborating with Business Development to organise events and seminars
  • Preparing PowerPoint presentations
  • Coordinating contract documentation
  • Maintaining the groups marketing materials including capability statements and CV's

Document Control and Distribution:

  • Typing or formatting correspondence and documents prepared by the technical staff
  • Distributing all documents and correspondence both within the group and externally by the most cost efficient means
  • Managing of document storage and retrieval systems within the group
  • Organising couriers

Project Delivery:

  • Maintaining an informed position on all stages of projects led by the group
  • Ensuring that the Project Directors and Leaders maintain accurate Project Delivery Data
  • Using customer relationship management systems to maintain internal databases
  • Organising project meetings held within the office

Essential Experience:

  • Knowledge of InDesign
  • Excellent computer and IT skills including; Word, Excel, PowerPoint and experience of using spreadsheets and databases
  • Confident, proactive character, with the ability to take the lead in challenging situations
  • Experience of supporting a team of people as well as working on a one-to-one basis
  • Good secondary or tertiary education qualifications including A levels, Higher National Diploma or Certificate or degree
