Our client, trail-blazing, 80-strong, construction and engineering with a focus on design, education and communication are looking for a Team Administrator and Receptionist to join their team on a temporary to permanent basis. You will be a multi-tasking self-starter who wants to provide an effective administrative service to a busy office and support to the head of Learning and Organisational Development.

Responsibilities:

  • Assisting in managing the front of house function including welcoming visitors, managing the conference rooms, answering the telephone and looking after communal areas
  • Managing office maintenance and managing all supplies necessary for the smooth running of the office.
  • Providing junior PA support to the Head of Learning and Organisational Development primarily in learning and development and health and safety.
  • Managing the reception in-box including responding to emails and filtering spam
  • Making travel and accommodation arrangements as required
  • Managing the in-boxes of meeting rooms ensuring that there are no clashes
  • Booking sufficient set up time in all meeting rooms particularly for large external meetings
  • Categorising internal and external meetings
  • Checking times of meeting and ordering catering when required
  • Preparing rooms and providing refreshments for all external meetings and clearing rooms once they have been used
  • Assisting with audio visual requirements for meetings including Skype and Click share
  • Managing the office supplies including weekly food and stationery orders
  • Completing PPE stocktake once a month and ordering equipment when necessary
  • Managing all post and courier
  • Ensuring the office is neat and tidy at all times including liaising with the cleaning company
  • Managing the printing room
  • Liaising with building maintenance personnel and ensuring all electrical equipment is PAT tested
  • Ensuring that all health and safety equipment is within good working order
  • Assisting with completing office risk assessments
  • Managing the archiving process
  • Updating the First Aid and Fire Warden lists within the office
  • Ensuring the accident book is kept up-to-date
  • Occasional printing, binding and scanning of documents
  • Assisting with office events
  • Providing administrative support for all training events
  • Booking training courses for all internal staff including associated travel and accommodation
  • Providing administrative support for human resources functions
  • Monitoring the recruitment in-box and providing an initial response, allocating appropriately for action
  • Assisting with new starter packs and inductions
