Our client, one of Asia Pacific's largest financial institutions is looking for an Administrative Assistant to join their team on a permanent basis. This is an amazing opportunity to provide operational and administrative support for the London branch. You will need to have a strong administrative background in a team environment with high attention to detail and empathy to deal with sensitive personal circumstances and diverse client group

Responsibilities:

  • Providing records management administrative support to the human resources team including electronic filing and documentation management
  • Providing general support for the chief operating officer
  • Providing administrative support to ensure on-boarding of new employees in accordance with regulatory requirements
  • Providing administrative support to the payroll and finance manager, Europe including human resource data input
  • Managing human resources processes and suppliers, ensuring compliance and assisting in service delivery
  • Collaborating globally with the chief operations officer and the human resources team to contribute to building relationships with core stakeholders
  • Provide support to the finance team
  • Supporting ad-hoc business requirements including completion of various returns including HMRC
  • Supporting administration around account payables
  • Managing completion of employee offers, background screening, DBS checks and on-boarding in accordance with regulatory requirements
  • Enrolling employees onto Complinet, My View and My Choice
  • Providing record maintenance for joiners and leavers, service awards, benefits and mandatory block leave reporting
  • Updating, amending and maintaining a people tracker including assignees
  • Updating Peoplexpress with people updates
  • Ensuring the payroll manager has payroll instructions, information and documentation for monthly payroll
  • Providing back-up support for monthly payroll and account payables
  • Providing administrative management of employee absence reporting
  • Providing administrative support for renewal of the sponsor license, visa applications, renewals and right to work checks
  • Providing recruitment support including booking psychometrics tests
  • Managing end to end employee benefits administration and records management including enrolling employees in the medical scheme and pension scheme
  • Collating and coding of invoices for finance
  • Managing off-boarding of employees
