Our client, specialist property and casualty insurers are looking for a Team Secretary to join their team on a ten month fixed term contract. This is a fast paced environment where the ability to move from the more routine tasks to the more complex and back again is essential. It is critical that you can handle the range of activity, and the associated commercial pressure, on a right first time basis.

You will be providing secretarial and administrative support to the Property Team, the Terrorism Team and the Managing Director London Market. The role also incorporates processing a high volume of work requests and ad-hoc project work, thus making time management and the ability to visibly prioritise essential.

Responsibilities:

  • Supporting the teams including extensive diary management for meetings both in the United Kingdom and overseas
  • Producing daily diary packs for the divisional head, including meeting papers
  • Booking and arranging extensive international and European travel itineraries
  • Arranging internal and external meetings and assisting with team diary management
  • Completing expense claims, invoice payment requests and liaising with the Accounts department
  • Providing administrative and secretarial support to the teams
  • Producing complex PowerPoint presentations
  • Completing copy typing of various documents and taking minutes at meetings where needed
  • Liaising with brokers, external agencies and internal departments on behalf of the team often as first point of contact
  • Organising internal and external functions and events
  • Assisting with the collation and distribution of reports, budgets and minutes
  • Providing holiday and absence cover for other London Market secretaries
  • Maintaining the holiday, sickness, travel and movement planner for the team
  • Maintaining filing and archiving
  • Setting up new joiners with everything they need prior to them starting
  • Booking meeting rooms and organising catering where necessary

Preferred Skill and Experience:

  • Educated to A Level or Degree standard, with secretarial qualifications or training
  • You should be highly proficient in writing clear and concise grammatically correct English
  • Have a proven track record in a team secretarial role with financial services or other fast paced environment
  • Have excellent organisational and interpersonal skills, with the ability to effectively multi-task and prioritise workloads
  • Have strong time management skills
  • Strength of character to manage key people
  • Adaptable, flexible and willing to help others
