One of the world's leading universities is looking for an Events and Marketing Coordinator to join their team on a 4 month temporary basis. The successful candidate will be supporting the alumni event programme in a wide range of events on campus, off campus and online. In addition to event logistics, marketing and data responsibilities, you will be supporting the Alumni Helpdesk, general alumni engagement programmes and special projects taking place within the team. You will be a self-starter who has a flexible approach, setting and re-assessing priorities and managing workload with minimal supervision.

Responsibilities:

  • Assisting the Alumni Events Officer in the delivery of a wide range of domestic, international and online events
  • Assisting the Alumni Engagement Officer in the delivery of international group events
  • Assisting the Alumni Volunteer Officer in the delivery of volunteer events
  • Setting up event registration on the ticketing website, answer registrant queries via the ticketing website inbox
  • Liaising with Campus Services on catering, AV, signage, decorations, photography and access
  • Creating and printing name badges to enable networking at events
  • Working with the Alumni Operations Coordinator to arrange payment for venues and suppliers
  • Writing event briefs and post-event reports and report to appropriate stakeholders
  • Producing team volunteering rotas for key College events
  • Supporting the development and tracking of key performance indicators for the events programme
  • Managing event operations in accordance with health/hygiene legislation and College policies
  • Drafting copy and sourcing images to design event mailings using the team's digital marketing platform
  • Building event feedback surveys
  • Using the team's social media platforms to promote event opportunities for alumni and ensure that event photos and write-ups are posted
  • Working with the Alumni Marketing and Communications Coordinator to produce rolling slides for large events
  • Using the alumni database to run queries, select audiences, add events, extract data and update records with event mailings
  • Supporting the development of a class and milestone reunion programme by supporting alumni volunteers to coordinate reunions, communicating in person, through email and telephone, and facilitating the alumni volunteer's activity programme development
  • Supporting the development and delivery of meaningful opportunities for alumni to get involved with the College, working closely to administer and assist on these programmes
  • Supporting the development of a student engagement programme and a recent graduates programme to generate awareness of the alumni network and encourage future alumni participation through events and volunteer programmes
  • Helping update and maintain an accurate record of the development and tracking of key performance indicators for the alumni engagement programmes
  • Providing support for the Alumni Helpdesk, answering alumni calls, enquiries and emails to the alumni mailbox, always ensuring an exceptionally high standard of friendly, prompt and professional customer service and escalating more complex enquiries as required
  • Actively using the online alumni platform to engage with the community; including posting updates, events and jobs, and ensuring that enquiries are shared with the appropriate members of the Alumni Relations Team
  • Providing support on communications that relate to our high quality customer service offer to alumni
  • Assisting the Alumni Marketing and Communications Officer as and when required
  • Providing logistical support in location sourcing and bookings
  • Contributing to any special projects as directed by the Director of Alumni Relations and Alumni Relations Manager

Essential Skills and Experience:

  • Must have a degree or equivalent qualification
  • Experience working with a wide-range of internal and external stakeholders at all levels
  • Ability to work on multiple events and projects at the same time while meeting deadlines and ensuring quality
  • Excellent written and oral communication skills, including a confident, helpful and professional telephone manner
  • Demonstrated computer competency and preferably knowledgeable of the Microsoft Office package, Word, Excel, Outlook and PowerPoint, as well as the ability to learn new software systems
