Fast growing PR & Communications Agency looking for experienced Office Manager/PA!
Our client is expanding and looking for a number of roles including an experienced Office Manager who can also act as a PA to support the MD and senior leadership team, as well as overseeing internal operational processes including managing the HQ and internal HR and financial reporting systems.
We need someone autonomous, confident, smart and able to think on their feet, to offer support to the team. The successful candidate will be highly organised with a clear ability to discern the important from the unimportant. They will also be comfortable with speaking on the phone and over email with senior people and have impeccable written and oral communication skills.
The main duties of this role include:
- Complex diary management
- Coordinating team meetings and project management software
- Executive support to the MD on any discrete matters concerned with client servicing or operations
- Oversight of financial software (FreeAgent) ensuring full and complete records of expenditure
- Oversight of client invoicing and cashflow
- Tracking staff holiday allowance and supporting directors with HR admin
- Covering reception and PA duties, e.g. servicing meetings rooms and dealing with email correspondence
- Oversee and be directly responsible for monthly team social engagement activities
- Undertaking other activities of a similar nature that fall within your capabilities as directed by senior management
Essential Skills:
- A minimum of two years’ experience as a PA or in an office management/operational role
- The ability to manage and prioritise a competing workload effectively, with limited supervision, working to changing deadlines with flexibility
- Excellent organisational skills
- Excellent interpersonal and communication skills
- Be proactive and decisive in managing issues where possible
- Discretion when dealing with sensitive matters
- A meticulous eye for detail;
- Confidence and professionalism in dealing with clients and staff;
- The ability to work with a leadership team and manage up as well as down;
- Commitment, energy, positivity and the ability to work calmly under pressure
