A leading FTSE 100 professional services company is looking for a PA to support their head of retail and team. This role is to provide full secretarial and administrative support to the Head of retail and wider team when appropriate.

The ideal candidate will have at least 5 years’ minimum experience within a PA capacity working within a global professional services firm, ideally property. Superb opportunity to join a fantastic company within state of the art offices. Extremely fast paced environment. Looking for someone super proactive with lots of initiative!

Key duties:

  • Diary Management  - Main point of contact for arranging and managing all meeting requests and meeting room bookings (refreshments, AV equipment etc). Support and highlight deadlines using relevant systems
  • Travel bookings - Book travel, accommodation for Managers
  • Act as focal point and filter for visitors
  •  E-mail / mail monitoring - Highlight and draw attention to urgent requests . Where necessary pull together information to allow responses to be drafted quickly and efficiently
  • Inbox management
  • Calls / Voicemail Monitoring - Screen calls and take messages where appropriate. Receive calls while managers are away from their desks and draw attention to urgent items
  • Meeting Preparation  -Prepare and distribute agenda, confirming time allocations with the appropriate attendees / speakers. Print all handouts necessary and distribute
  • Finance- Raising Purchase Orders, receipting invoices, advising supplier of PO number
  • Presentations - Draft and format presentations as required, pull together information for presentations as required. Create and format presentations where necessary
  • Provide cover for other Secretaries when on annual leave, sickness etc

  • Raising invoices and POs
