- Professionally greet visitors and escort them to their meeting room, ensuring the appropriate member of staff has been informed of their arrival.
- Assist clients (staff/visitors) with any requests; delivering a service with a personal, helpful and welcoming attitude.
- Fast response and management of the switchboard calls while remaining polite, friendly and professional – key to this is understanding and familiarising yourself with your clients requirements in order to field calls appropriately.
- Managing an electronic meeting room booking system.
- Ensure all meeting rooms are maintained to the highest standards; that they are fully stocked and laid out according to the requirements of the meeting room guidelines and meeting booking. Liaising with the IT team regarding any technical or media requirements and providing assistance in using the phone and VC facilities.
- Provide appropriate in-house catering, for e.g. water/tea/coffee and lunches. Hospitality is a key part of this role as we have 7 external and 4 internal meeting rooms which are extremely busy, so setting up and clearing the meeting rooms forms a large part of this role.
- Pro-actively resolve any issues and escalate to appropriate persons as necessary while retaining ownership until an issue has been resolved.
- Procure and manage Reception supplies including company stationery and maintaining good supplier relationships.
- Security management to include programming of security cards and keeping accurate records.
- Recording and escalating maintenance faults to the appropriate external team.
- Managing post both incoming, outgoing, using the franking machine and electronic weighing scales, booking same day/overnight/international couriers and record keeping.
- Ordering taxis.
- Liaising with Building Management and Building Security (booking-in visitors and out of hours contractors electronically).
- Managing stock levels and replenishing supplies such as stationery, milk and kitchen consumables.
- Travel booker and completing expenses when occasionally required (usually to cover a Team Assistant during leave periods).
- Develop good relationships with Team Assistants, PA’s and any teams closely aligned to Facilities.
- Sending out ‘all staff ‘communication/notifications using proficient spelling and grammar.
- Company event support (in house drinks receptions and very occasionally working outside of office hours to support these events – two/three times a year at most).
- Ad hoc administration duties as and when required using Microsoft Office software packages.
- Supporting the Office Manager.
- Fire Marshal duties.
- Liaise with the team to ensure Reception is always covered during the day and over leave periods.
- General hours of duty will be 9am to 5pm, but must be flexible to cover either the 8am-4pm or 10am-6pm shift.
