My client who is one of the top 20 professional services company based in the heart of the City is looking for an experienced PA to provide support primarily to a Partner and adhoc support to directors and senior managers. This is a busy and varied role and will require someone who is switched on and enjoys being the right hand person of a boss. It is therefore essential that the jobholder possesses first class organisational, administrative, secretarial and interpersonal skills, in order to perform at the required level. The jobholder will have regular client contact and contact with other partners and staff within the firm and therefore should be confident in dealing with people at all levels.

Responsibilities:-

  • Diary management - arranging external and internal meetings and calls.
  • Gatekeeper and first point of contact.
  • Managing inboxes and email correspondence for self and for partners - helping draft and sending emails as the partners.
  • Assist with the administration of money held on client account; preparation/submission of payment instruction for partner signature to Finance Department.
  • Assist with the preparation of reports, letters, minutes and presentations from digital dictation and handwritten drafts
  • Collation and preparation of documents - for meetings, letters, reports, proofing - all in line with the firm's corporate image policy
  • Anti-Money Laundering - filling out the forms or arranging for them to be completed by the case handler, follow up historic AML and liaise with the anti- Money Laundering team.
  • Process expenses for the partner
  • Maintaining the client management database and respond to marketing requests
  • Professional fee insurance exercise annually
  • Keep the partner's days running smoothly and keep on top of their workloads - daily catch ups, printing reminders and to do lists
  • Co-ordinate and book travel and accommodation for the partner, as required
  • Helping the partner organise papers and confidential filing
  • Ad hoc support and cover to team members

Skills and Experience required:

  • Legal or professional service experience, with secretarial support experience at senior and/or partner level
  • Experience of dealing with highly sensitive and confidential material
  • Excellent proof reading and typing skills
  • Proficient use in all Microsoft packages, knowledge of using financial systems and digital dictation
  • Experience of invoicing systems would be highly beneficial but training given as required.
  • Be highly organised
  • Pay close attention to detail

  • Have experience of providing multiple support to partners/senior management
  • Demonstrate the ability to work with individuals at all levels with tact, discretion and diplomacy
