My client is looking for an experienced Team Secretary to join their company on a permanent basis. This is a wonderful opportunity to join a very reputable firm with a great working culture.

Duties include;

  • Audio typing
  • Audit bank letter requests to banks (electronically via confirmation.com or correspondence)
  • Sending out accounts and filing* (if required)
  • Creating and distributing monthly statements
  • Diary management
  • Preparation of Expenses
  • Booking of train tickets and hotels
  • Booking training courses
  • Arranging lunches for client meetings as required
  • Booking of meeting rooms and car parking spaces
  • Preparing and sending new engagement letters to clients
  • Sending of 64-8 forms to clients
  • AML checks and requesting money laundering documents for clients (as appropriate)
  • Dealing with overflow phone calls in the office
  • Filing and scanning
  • Binding of accounts as and when required
  • Preparation and filing of confirmation statements
  • Liaising with Company Registrations Online (CRO) regarding company secretarial issues
  • Liaison with CRO to maintain and update shareholder information for all clients
  • Ad hoc submission of forms to Companies House.
  • Requesting new client authentication codes as required
  • Providing occasional Reception Cover
  • Meet and great clients at reception as and when required
  • Assistance in opening and distributing client post/franking post
  • Liaising with the bookkeeper with regards to fee balances
  • Maintaining the cheques/cash in spreadsheet
  • Banking of the cheques
  • Attending and assisting in the running of marketing seminars as and when required
  • Assisting the office manager on technical issues that arise
  • Creation of new starter packs for employees*

Skills required;

  • At least 3 years’ experience in a similar role
  • Strong MS Office knowledge
  • Confident
  • Ability to work to deadlines
  • Ability to work autonomously as well as part of a team
