We are looking for an experienced Personal Assistant / Office Manager to support the team and handle all of the administration in the office in order to ensure that everything is running smoothly and all admin processes are working effectively.  This is a young company and relatively small but growing team and they are well-established amongst the leading firms within their field.  Primarily supporting the Founder in a PA capacity but also assisting the wider team (2 additional agents, an Operations Manager and the Events Manager) as well as Office Management – the office is in a co-working space so general facilities are managed by the building.  While experience of sports management would be beneficial, it is not essential but it will be important to quickly develop an understanding of the business and the Principal’s workstreams.

 

Hours:                  Full time – very occasionally required to respond to calls / emails out of normal office hours

Location:              Fulham, with some flexibility for remote working

Salary:                  Dependent upon experience

Responsibilities include, but are not limited to:

  • Diary management
  • Travel coordination
  • Inbox management
  • Scheduling meetings
  • Email management and action points from meetings
  • Manging filing (Dropbox)
  • Manage the database of clients
  • Managing expenses for the bookkeeper
  • Smooth running of the office, maintaining office efficiency
  • Maintain all necessary records to ensure that the office is well maintained, that administrative services are provided as required
  • Manage contract and price negotiations with service providers
  • Order stationery and equipment
  • Organise office operations and procedures and keep staff informed
  • Coordinate with IT department on all office equipment
  • Ad-hoc admin support
  • Assist with the preparation for meetings and conference calls

Candidates must be / have:

  • Proven office management, administrative and assistant experience
  • Knowledge of office management responsibilities, systems and procedures
  • Tech savvy
  • Excellent time management skills and ability to multi-task and prioritise work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills, with the ability to communicate effectively with all internal and external stakeholders
  • Proactive, with strong organisational and planning skills
  • Proficient with Mac operating system and applications
  • Proactive and self-motivated, able to show initiative
  • Flexible, with excellent attention to detail
