My client has been established for over 30 years, They area leading specialist estate agent in Central London with a major market share of residential sales and lettings at the top end of the market. I am currently recruiting a Lettings Coordinator required for a busy Mayfair office. The successful candidate must be extremely organised, have a professional approach, be a team player, have excellent communication skills, be computer literate, have high accuracy and attention to detail and be able to work to deadlines.

Principal Duties of the Lettings Administrator will be to:

  • Provide full administrative support to Negotiators and the Lettings Manager.
  • Add properties to database
  • Create window cards and keep updated without being prompted
  • Organise photographs, epcs and floor plans
  • Maintain monthly renewals sheets, gas safety records and rent schedules
  • Maintain advertising schedules and organise copy on instruction
  • Prepare all new tenancy agreements ensuring that all appropriate clauses are included
  • Prepare all additional tenancy related documentation
  • Organise inventories, check in's and check out's
  • Organise any pre tenancy cleaning
  • Organise deposit refunds
  • Register deposits with government approved schemes where necessary
  • Assist with arranging viewings where necessary
  • Support Lettings Manager with rent collection and remittance
  • Support Lettings Manager with fee and rent invoicing
  • Support Lettings Manager with Tenancy Renewals and associated documentation
  • Send new deal sheets to accountants
  • Inform accountants & update database to reflect any change or update to the terms of a Tenancy
  • Manage the termination process so that it runs smoothly and efficiently


The Individual will have:

  • Previous administrative experience
  • Excellent oral and written communications skills
  • A proven ability to work independently with minimal supervision
  • Excellent IT skills with the ability to use MS Word & Excel
  • A highly motivated, proactive 'can do' attitude
  • Excellent organisational skills
  • Excellent self-presentation and will be friendly, positive and helpful
  • Maturity; driven by experience, efficiency and accuracy
  • Self-motivation with an ability to actively seek out ways to improve departmental procedures

Salary - £20,000

Hours - Monday to Friday 9AM - 6PM
