A leader in shipping of furniture and personal effects is looking for a Personal Assistant to join their team on a permanent basis. The successful candidate will be providing secretarial and administrative support in a well-organised and timely manner to the Finance Director. You will be detail orientated with a minimum of 3 years Personal Assistant experience.

Responsibilities:

  • Dealing with all email correspondence including setting priorities and drafting answers to emails
  • Following up outstanding matters with other offices and external parties through to completion
  • Managing diaries; scheduling meetings & appointments; preparing for in-house meetings; making travel arrangements (including booking flights, taxis and accommodation)
  • Reminding the Director of important tasks and deadlines
  • Preparing agenda, minutes of meetings and other documentation
  • Screening calls and handling requests and queries appropriately; you will be the first point of contact for telephone calls and enquiries to the Director
  • Collating and filing the Director's expenses
  • Maintaining filing system (soft & hard copies)
  • Reviewing spreadsheets, sometimes preparing simple spreadsheets with formulas, and analysing/comparing results
  • Inputting entries in accounting software and extracting reports
  • At times, extracting reports from the Client's financial software

Essential Skills and Experience:

  • A minimum of 3+ years Personal Assistant experience
  • A self-starter who can work well in a fast-paced environment
  • Excellent administration skills are required including good knowledge of MS Outlook, MS Word and MS Excel
  • Highly organised with the ability to monitor and manage multiple tasks
  • The ability to prioritise to meet set deadlines
  • Flexibility and adaptability; a good team player with excellent people skills
  • The ability to be proactive and take the initiative
  • Confident in dealing with people at all levels
  • Excellent oral and written communication skills
  • Well presented, reliable and punctual
  • Discretion and trustworthiness: you will often be party to confidential information
