Our client based in London requires a IT Systems & Facilities Officer to start ASAP. This is a 12-month contract with the possibility of being extended. The role will be 70% IT and 30% Facilities and you will be working a 35hr week with the possibility of working the odd Saturday therefore flexibility is required.
The main duties are:
- IT duties will include: Assist with user IT queries
- Setting up new users on the network
- Order and configure new laptops
- Maintain the laptop and phone asset list
- Liaise with outsourced IT support where required
- Provide support with the implementation of IT projects
- Help coordinate tender processes including new supplier research and booking supplier interviews
- Assist in identifying user training needs and help to develop solutions, including creation of training documents
- Support on drafting policy updates
- Facilities duties will include: Assist with the daily functioning of the office
- Assist with the management of procured service contracts for accommodation, office equipment and supplies, travel, telephony, security and insurance
- Work within the budget for the office
- Liaise with the building managing agents for issues such as contractor access and general queries
- Arrange passes, security fobs and locker allocations for new members of staff and regularly audit relevant databases
- Maintain good communication lines and relationships with suppliers
- Logging and reporting all technical faults and arranging all office equipment fixtures and fittings, obtaining quotes and coordinating repairs when required.
- Monitor and maintain stationery stock levels
- Sorting and distribution of mail
- Booking both UK and international couriers
- Health and Safety responsibilities will include: Assist with fulfilling statutory requirements through periodic checks and risk assessments where required
- Maintain and update relevant documentation
- Complete PEEP forms (Personal Emergency Evacuation Plans)
- Ensure all new staff have completed Fire Emergency multimedia training and regularly audit
The successful candidate will be degree educated or equivalent and have previous experience working in a similar role, in a professional organisation. You need to have excellent organisational and time management skills, able to meet tight deadlines and respond in emergency situations, self-motivated and able to work using own initiative. You need to have excellent interpersonal and communication skills able to effectively communicate at all levels, be a good team player and have good knowledge of all Microsoft packages.
