Team Assistant- Global professional services - 1 year fixed term contract
A global professional services consultancy based in the City is looking for a Team Assistant to support to support the Senior Directors, Directors and a large team of 10.
This role will be heavily involved in providing administrative support for the team of 12.
Team Assistant Duties:
- Being the first point of contact for the team - answering the telephone as and when required, dealing with client queries, providing information, taking messages and fielding calls where appropriate
- Arranging all travel for the team, including flights, hotels, transfers and trains – regional UK, Europe, USA and Asia.
- Carrying out filing for the team as and when necessary including archive management of both electronic and paper filing.
- Ensuring project database is up to date
- Assist credit control with any queries in regard to chasing bad debts.
- Working closely with finance team to ensure information is accurate and up to date at all times on database
- Preparing and amending presentations/pitch documents
- Creation of marketing campaigns within SalesForce
- Monitoring and updating marketing/pitch collateral and information for use by teams and maintaining internal databases for use by the team.
- Preparing invoices for clients
- Accurate input of expenses into financial system
- Managing the team and project filing systems
Secretarial/ PA key duties:
- Extensive diary and travel management for both heads of team
- Being a focal point of contact for the team
- Arranging internal/external meetings and conference calls
- Inbox management for two heads
- Creating and updating CRM contacts
- Building relationships with key clients
Looking for some with strong administration experience who is happy to take on extra duties and diversify their role. Must have experience supporting large teams. Must have a minimum of 3 years’ experience working within a corporate environment in a similar role. Must have exceptional attention to detail, be pro-active and enjoy working autonomously and as part of a wider team. Looking for excellent IT skills with good communication skills, both verbally and in writing. Must be Sociable and outgoing with a flexible approach to work
