Purpose of the role:
To provide confidential PA support to the Directors of Finance, Creative Programme and Health and Welfare as required, on a range of tasks and support Directorate governance for the charity
Build relationships with:
- Trustees and Advisory Board Members
- External callers to Directors
- Executive Team and all staff at the charity
Overall duties:
- Prioritisation of Health & Welfare, Creative Programme and Finance Director activities
- Diary planning and management for the Health & Welfare, Finance and Creative Programme Directors
- Provide administrative and diary management support to the Directors as required
- Process Directors expenses
- Arrange and book travel and accommodation for the Directors as required
- Liaising with the rest of the team, other staff and external relationships, suppliers etc.
- Attending formal Director meetings and taking notes where required
- Organising external meetings where requested
- Developing and managing appropriate Network Directories to organize storage of Directors resources
- Provide Governance Support (mandatory to possess Governance experience on your resume).
- Assist with collating and sending papers for Finance & Audit Committee and Creative Advisory Board and Health Advisory Board meetings
- Manage the annual calendar of Finance & Audit Committee and two advisory Boards for Creative and Health
- Be well appraised of the charity and its work with an ability to communicate this information passionately
- Undertake and identify relevant professional development activities and training, in agreement line manager.
Essential Skills and Person Specification:
- Excellent written and spoken English
- Outstanding telephone manner
- High proficiency in the use of MS Office software and databases
- Effective accurate typing with an ability to proof read
- Proactive and confident in providing a high-quality customer service to all internal and external contacts
- Able to review and develop effective administrative systems
- Highly developed planning and organisation skills
- Thinks ahead to anticipate future workload and challenges
- A confidential approach to work and professional at all times
- Team-player with positive attitude
- Ability to work under pressure and prioritise
- High levels of self-motivation
- Ability and willingness to learn new skills
- Company secretarial duties and function
Other:
